1. Who We Are
We are Dolly Char (UK) Ltd, a franchised domestic cleaning service provider. As part of our operations, we collect and store personal data from cleaners to manage job allocations, verify identity, and ensure compliance with legal and regulatory requirements.
2. What Data We Collect
We collect and store the following types of personal data through two forms:
1. Cleaner Enrolment Form (Fluent Forms – WordPress)
Full Name
Contact Details (Phone & Email)
Address
Date of Birth
Emergency Contact Information
Work Preferences (Availability, Areas Covered)
Experience & Qualifications
Any other relevant information provided
2. Document Upload Form (Google Forms)
Photo ID
Proof of Address
References
Proof of Eligibility to Work in the UK (if applicable)
3. How Your Data is Used
Your data is collected for the following purposes:
✅ Job Allocations – Matching you with available cleaning jobs based on location, availability, and experience.
✅ Identity & Compliance Checks – Ensuring you are legally eligible to work and meet franchise requirements.
✅ Record Keeping – Maintaining accurate records for each franchisee to manage their team.
4. Where & How Your Data is Stored
Cleaner Enrolment Form Data
Stored in WordPress for 30 days (after which it is automatically deleted).
The data is also stored in Google Sheets, which is accessible only to your assigned franchisee and authorized staff.
Document Upload Form Data
Your documents are securely stored in Google Drive, within your franchisee’s designated folder.
Only your franchisee and authorized personnel can access these files.
5. Data Retention & Deletion
Cleaner Enrolment Form:
Stored in WordPress for 30 days before automatic deletion.
Remains in the Google Sheets database until you de-register from our agency.
Document Upload Form:
Files remain in the franchisee’s Google Drive folder until the cleaner is de-registered.
It is the franchisee’s responsibility to delete these files when no longer needed.
Requesting Data Deletion
If you request that your details be deleted, you will no longer receive work through our agency and must withdraw your services from our clients. Upon de-registration, your franchisee will remove your data from their system.
6. Your GDPR Rights
You have the right to:
Access your data
Request corrections to your data
Request deletion of your data when it is no longer required
Lodge a complaint if you believe your data has been mishandled
